The Purpose of the Job
The Team Assistant role at Sasol holds significant importance as it provides crucial administrative and secretarial services to support the smooth functioning of the relevant team. This position is responsible for managing day-to-day operational tasks, enabling managers and the functional area to focus on their core responsibilities effectively.
Recruitment Description / Key Accountabilities
- Administrative Support: As a Team Assistant, your primary responsibility will be to provide seamless administrative assistance to the team. This will include organizing meetings, preparing agendas, and ensuring accurate and comprehensive minutes of each meeting.
- Diary Management: You will play a vital role in managing the diaries of managers, ensuring their schedules are well-organized and optimized.
- Submission and Reporting: The role involves assisting with the compilation and preparation of submissions and management reports. You will be responsible for issuing approved reports promptly, adhering to all format and branding requirements
- Document Management: Ensuring all distributed documentation appears professional, without any errors or review notes, will be a part of your daily responsibilities. You’ll also maintain an up-to-date distribution list for accurate report dissemination.
- Word Processing and Presentation: As a departmental resource for word processing, PowerPoint, and spreadsheet applications, you will be involved in producing various departmental correspondence, presentations, records, spreadsheets, and databases.
- Event Management: You will arrange both in-house and external events, such as conferences and meetings, contributing to the seamless execution of these activities.
- IT and Operational Support: Taking care of IT and operational issues, including logging problems and requests on behalf of the team, will be a crucial aspect of your role.
- Telephone and Communication: You will manage incoming calls, take messages, and respond to inquiries within your assigned scope of responsibility.
- Documentation and Filing: Establishing and maintaining an efficient documentation and filing system to ensure accurate storage and distribution of departmental records and files is vital.
- Procurement and Inventory: Monitoring office supplies inventory and purchasing new material within budgetary constraints will be a part of your duties.
- Financial Management Support: You will assist in the loading of purchase requisitions and invoices, as well as follow-up on payments.
Formal Education and Experience
To be eligible for the Team Assistant role at Sasol, you need to have a High School Diploma or similar qualification. Additionally, the ideal candidate should have at least 2 years of relevant experience in a similar administrative position.
