Key Responsibilities
As a Personal Assistant, you will be responsible for the following:
- Administrative Support:
- Handling a wide range of administrative duties, ensuring smooth daily operations.
- Managing correspondence, escalating queries as needed, and providing prompt feedback to management and clients.
- Assisting with the preparation, maintenance, updating, and filing of essential branch reports.
- Communication Management:
- Screening and answering incoming calls.
- Directing calls to the appropriate sources and taking detailed messages.
- Serving as a liaison between the executive, clients, team members, and other stakeholders.
- Diary and Meeting Coordination:
- Managing the Regional Manager’s diary, scheduling appointments, and arranging meetings.
- Taking minutes during meetings and ensuring follow-ups on action points.
- Visitor and Office Management:
- Welcoming visitors to the branch manager’s office, ensuring they are comfortable.
- Assisting with general office queries and tasks as assigned by the Branch Manager.
- Uniform and Supplies Coordination:
- Ordering, collecting, and issuing uniforms.
- Running errands and coordinating logistical needs as required.
- Other Duties:
- Managing tasks with confidentiality and attention to detail.
- Adapting to changing priorities and working under pressure to meet deadlines.
Minimum Requirements
To be eligible for this role, applicants must meet the following criteria:
- Educational Qualifications:
- A Grade 12 certificate (or equivalent) is essential.
- A higher qualification in office administration or public relations is advantageous.
- Professional Skills:
- At least two years of administrative experience.
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Excellent written and verbal communication skills.
- Additional Requirements:
- A clear criminal record.
- A valid driver’s license is advantageous.
- Willingness to work extended hours when necessary.
