 Overview of the Role

The Storekeeper is a vital link in the supply chain, responsible for the administration, control, and safeguarding of all stock and inventory. This position involves direct interaction with suppliers, internal staff, and management. A key component of the role is the supervision of the store associate and the strict adherence to quality and safety standards within the storage facilities (storeroom, fridge, and freezer).

 Desirable Education and Experience

The ideal candidate will possess a blend of formal qualifications and practical experience, demonstrating readiness to handle the demands of a fast-paced logistics and hospitality environment.

  • Logistics Experience: A minimum of 2 years of experience working in a logistics, warehousing, or inventory management setting. This foundation is essential for understanding stock flow and control principles.

  • Formal Education: Successful completion of Matric (Grade 12) or an equivalent qualification.

  • Sector Preference (Advantageous): While not essential as comprehensive training will be provided, previous experience in a hospitality or catering environment is highly preferred. Understanding the specific nature of food and beverage inventory is beneficial.

  • System Knowledge (Advantageous): Familiarity with Work Smart experience or similar inventory management software will be a significant advantage.

  • Supervisory Background (Advantageous): Prior supervisory experience will be beneficial for effective team management and delegation within the stores area.

 Essential Knowledge, Skills, and Competencies

Success in this role requires a robust set of administrative, numerical, and interpersonal skills.

  • Computer Literacy: Proficiency in standard office software (e.g., Microsoft Excel, Word) for order processing, stock reporting, and data management.

  • Numerical Acuity: A strong ability to work with numbers and calculations is crucial for stock reconciliation, verifying invoices, and managing inventory ratios.

  • Organizational Prowess: Excellent planning and organization skills are needed to maintain a tidy, efficient storeroom and manage multiple tasks simultaneously.

  • Time Management Skills: The capacity to prioritize tasks and complete reporting/issuing functions accurately and timeously is essential.

  • Communication Skills: Clear and professional communication is required for liaising effectively with suppliers, the Project/Catering Manager, and internal departments.

  • Autonomy and Resilience: The ability to work autonomously is key, along with the capacity to maintain performance and accuracy under pressure.

  • Leadership: The ability to delegate tasks effectively to the store associate while retaining accountability for overall store operations.

 Key Areas of Responsibility (KRA)

The Storekeeper’s duties encompass the entire procurement, receiving, storage, and issuing cycle, with a strong focus on quality control and compliance.

1. Procurement and Supplier Management

  • Order Placement: Place orders for stock/groceries upon receiving formal approval from the Project/Catering Manager.

  • Supplier Liaison: Act as the primary point of contact, liaising directly with suppliers regarding order status, delivery schedules, and quality issues.

  • Invoice Verification: Critically review all incoming invoices and delivery notes to ensure that prices and quantities concur precisely with the original order sheet.

2. Stock Control and Inventory Management

  • Issuing Stock: Efficiently and accurately manage the issuing of stock/groceries to all External Departments as required for production.

  • Portion Control (Food Safety): Conduct the weighing of all food products being issued to staff for production to ensure strict portion control and accurate usage tracking.

  • Ratio Management: Proactively manage the stock ratio of stores in line with the allocated budget, maintaining minimum/maximum stock levels to prevent both stockouts and excessive waste.

  • Stock Audits: Actively assist in Weekly and Monthly Stock take procedures, ensuring accuracy and preparing necessary documentation.

3. Receiving, Quality, and Safety Compliance

  • Goods Receiving: Receive all stock from suppliers, performing a thorough check to ensure that all stock delivered is in order, complete, and undamaged.

  • Quality and Data Checks: Check all goods entering the stores’ area in terms of quality, verifying required data sheets, and ensuring items are correctly labelled.

  • HSE Compliance: Complete all HSE (Health, Safety, and Environment) records correctly and timeously, ensuring the storage area adheres to all regulatory standards.

  • Storage Implementation: Implement strict controls within the Fridge, Freezer, and Storeroom to maintain optimal conditions for all inventory, especially perishables.

  • Quality Assurance: Ensure that Quality checks are done on all food products upon receipt and before issuing.

4. Storeroom Supervision and Security

  • Supervision: Supervise the storeroom, fridge, and freezer facilities, ensuring the store associate adheres to all protocols.

  • Cleanliness and Security: Guarantee the Storeroom/Fridge/Freezer is locked and always cleaned to maintain hygiene standards and prevent theft or spoilage.

  • Post-Service Operations: Ensure all stock is packed away after each mealtime service to maintain order and security.

5. Teamwork and Reporting

  • Collaboration: Work in Conjunction with the Project/Catering Manager and Catering Supervisors to align inventory levels with production schedules and project needs.

  • Flexibility: The role will be requested to work over weekends as required by the operational demands of the catering and project schedules.
